This Service Delivery Policy explains how ZoomYourTraffic Web Solutions plans, performs, communicates, reviews, and completes digital marketing and related professional services.
This Policy should be read together with our Terms and Conditions, Refund and Cancellation Policy, Privacy Policy, and the proposal or service agreement applicable to the engagement.
1. Scope of This Policy
This Policy applies to services that may include:
- Digital marketing strategy
- SEO, AEO, GEO, and online visibility services
- Content planning, writing, and optimisation
- Paid advertising management
- Social and professional network marketing
- Website strategy, design, development, and maintenance
- Digital asset maintenance
- Analytics, dashboards, and reporting
- Marketing automation
- AI-assisted marketing services
- Digital audits and assessments
- Consulting, training, and implementation support
The exact deliverables and delivery process will be defined in the applicable proposal or service agreement.
2. Service Delivery Models
Services may be delivered through one or more of the following models:
Project-Based Delivery
A defined project with agreed deliverables, stages, milestones, and completion criteria.
Retainer-Based Delivery
Ongoing monthly, quarterly, or annual services delivered according to recurring priorities, available resources, and an agreed service plan.
Time-Based Delivery
Services performed according to approved hourly, daily, or resource-based estimates.
Consulting or Advisory Delivery
Workshops, audits, meetings, recommendations, reviews, roadmaps, and advisory support delivered during an agreed period.
Managed Service Delivery
Ongoing management of specified websites, campaigns, dashboards, content systems, or digital assets.
3. Conditions Required to Begin Work
Work will normally begin after the following requirements have been completed:
- Proposal or scope approval
- Receipt of the required advance or initial payment
- Appointment of the Client’s authorised point of contact
- Receipt of required business information
- Receipt of access credentials or account invitations
- Receipt of brand, product, technical, and content materials
- Confirmation of priority services and target markets
- Completion of onboarding requirements
A delay in completing these requirements may change the planned commencement and delivery dates.
4. Commencement Date
The service commencement date is the date confirmed by ZYT after the required payment, information, access, and approvals have been received.
The invoice date, payment date, proposal date, and commencement date may be different.
For recurring services, the confirmed commencement date may also become the monthly or periodic renewal date unless otherwise stated.
5. Business Days
For delivery and communication purposes, a “business day” generally means Monday to Friday, excluding applicable public holidays in India and planned company closure days.
Unless otherwise agreed, service communication and scheduling will be based on Indian Standard Time.
Work outside normal business days or business hours may require prior arrangement and may be subject to an additional charge.
6. Project Planning
After onboarding, ZYT may prepare or confirm:
- Project objectives
- Scope and deliverables
- Work phases
- Responsibilities
- Dependencies
- Content or campaign priorities
- Review stages
- Reporting requirements
- Estimated delivery dates
- Communication channels
A plan may be adjusted where new information, technical limitations, Client changes, or third-party platform requirements affect the original assumptions.
7. Delivery Timelines
Delivery dates are based on the scope, resource availability, technical complexity, Client response time, and third-party dependencies.
Unless specifically described as fixed in a signed agreement, delivery dates are reasonable estimates rather than guarantees.
Timelines may be extended where:
- Required information is incomplete
- Access is not provided
- Client approvals are delayed
- The scope changes
- Additional revisions are requested
- A third-party platform is unavailable
- A technical issue is discovered
- Client-owned systems require repair
- The project is paused
- An event outside reasonable control affects delivery
ZYT will communicate material schedule changes when reasonably possible.
8. Client Point of Contact
The Client should appoint one primary authorised contact.
The primary contact is responsible for:
- Consolidating internal feedback
- Confirming priorities
- Providing approvals
- Arranging required access
- Resolving conflicting instructions
- Communicating business changes
- Coordinating with the Client’s internal teams
ZYT may rely on instructions and approvals received from the authorised contact.
Where multiple Client representatives provide conflicting instructions, work may be paused until a single direction is confirmed.
9. Communication Channels
Service communication may take place through:
- Scheduled online meetings
- Telephone calls
- Approved messaging platforms
- Project management systems
- Shared documents
- Reporting dashboards
Important approvals, scope changes, cancellation requests, and financial instructions should be documented in writing.
Meeting discussions that materially change the scope should be confirmed by email or another agreed written channel.
10. Delivery Methods
Depending on the service, deliverables may be provided through:
- Shared cloud folders
- Client dashboards
- Analytics platforms
- Advertising accounts
- Content calendars
- Client websites or content management systems
- Project management systems
- Online meeting presentations
- Downloadable documents
- Spreadsheets
- Design or development repositories
Delivery may occur by supplying a file, publishing approved work, updating an authorised account, sharing access, or presenting the completed output.
11. Digital Marketing Retainers
Digital marketing retainers are ongoing service arrangements rather than single fixed-output projects.
Monthly priorities may be influenced by:
- Current performance
- Campaign results
- Search or platform changes
- Technical issues
- Seasonal requirements
- Business priorities
- Available Client materials
- Previously approved strategy
The quantity and type of activities delivered will be based on the applicable plan, approved scope, available monthly capacity, and current priorities.
A monthly retainer does not guarantee that every possible marketing activity will be performed during every service cycle.
12. Content Delivery
Content work may include research, briefing, drafting, editing, optimisation, formatting, publication, or performance review, depending on the approved scope.
The Client is responsible for confirming:
- Technical accuracy
- Product and service details
- Pricing
- Offers
- Industry-specific claims
- Legal or regulatory statements
- Copyright and trademark permissions
- Final publication approval
Content schedules may be affected by delayed information, subject-matter review, or Client approval.
13. Website Design and Development
Website services may be delivered through stages such as:
- Discovery and requirements
- Information architecture
- Wireframe or design direction
- Content and asset preparation
- Development
- Internal testing
- Client review
- Corrections and approved revisions
- Deployment or handover
The precise stages depend on the scope.
Responsive layouts will be designed for commonly used screen sizes and modern browsers included in the proposal. Compatibility with obsolete browsers, unusual devices, or systems not included in the scope may require additional work.
14. Website Maintenance
Website maintenance services cover only the activities specified in the applicable plan.
Maintenance may include:
- Software updates
- Content updates
- Security checks
- Backup monitoring
- Performance reviews
- Technical corrections
- Analytics checks
Maintenance does not automatically include redesign, redevelopment, emergency recovery, malware removal, server administration, new functionality, or correction of issues introduced by another provider unless expressly included.
The Client should maintain independent access to its domain, hosting, backups, and critical accounts.
15. Advertising Campaign Delivery
Paid advertising services may include campaign planning, account setup, targeting, creative coordination, tracking, optimisation, and reporting.
Campaign commencement may depend on:
- Advertising account access
- Billing setup
- Platform approval
- Creative approval
- Landing page readiness
- Tracking implementation
- Audience availability
- Compliance with platform policies
Advertising spend is separate from management fees unless the proposal states otherwise.
ZYT cannot control advertisement rejection, account restrictions, auction costs, platform outages, or policy changes imposed by advertising platforms.
16. Analytics and Reporting
Reports may be delivered through dashboards, presentations, spreadsheets, documents, or meetings.
Reports are based on data available from Client systems and third-party platforms.
Differences may occur because of:
- Tracking consent
- Attribution models
- Platform processing delays
- Ad blockers
- Cookie restrictions
- Cross-device behaviour
- Data sampling
- Deleted or unavailable historical data
- Differences between analytics platforms
Reports should be interpreted as decision-support information rather than independently audited financial records.
17. Review and Approval Period
Unless another period is stated in the proposal, the Client should provide consolidated feedback within three business days of receiving a deliverable requiring approval.
Where feedback is delayed:
- The delivery schedule may be extended.
- Dependent activities may be postponed.
- Reserved resources may be reassigned.
- Campaign or publication dates may change.
- Urgent rescheduling may require an additional charge.
A lack of response will not automatically be treated as approval unless a specific pre-approved workflow has been agreed. However, ZYT may continue with other non-dependent work or adjust the schedule.
18. Revisions
The number and type of revisions included will be stated in the proposal or service plan.
An included revision means a reasonable modification that remains consistent with the approved brief and scope.
The following may be treated as additional work:
- A new design or content direction after approval
- New pages or deliverables
- Rewriting based on changed business information
- Revisions caused by conflicting Client instructions
- Changes requested after final approval
- Rework of material changed by another provider
- New functionality
- Revisions exceeding the included quantity
Additional revisions will be quoted or billed according to the agreed commercial terms.
19. Quality Concerns and Corrections
The Client should notify ZYT in writing where a deliverable materially differs from the approved scope.
The notice should identify:
- The affected deliverable
- The expected requirement
- The observed issue
- Supporting examples or screenshots
- The requested correction
ZYT will review the concern and determine whether it is:
- A correction within the agreed scope
- An included revision
- A new requirement
- A third-party issue
- A Client-system issue
- Work outside the original scope
Valid corrections within the agreed scope will be addressed within a reasonable period.
20. Third-Party Dependencies
Delivery may depend on services controlled by third parties, including:
- Search engines
- AI platforms
- Social networks
- Advertising platforms
- Hosting providers
- Domain registrars
- Payment gateways
- Email providers
- Software and plugin vendors
- Analytics providers
- Cloud storage providers
ZYT is not responsible for delays caused by third-party outages, approval processes, policy changes, account suspensions, software defects, discontinued features, or unavailable data.
Where possible, ZYT will recommend a practical alternative or revised delivery approach.
21. Access Credentials and Security
The Client should provide access through individual user accounts or authorised invitations wherever the platform supports them.
Primary account passwords should not be shared unless no reasonable alternative exists.
ZYT will use access only for the agreed services and will take reasonable measures to protect credentials.
The Client remains responsible for:
- Account ownership
- Billing information
- Removing unnecessary users
- Multi-factor authentication
- Password changes
- Access granted to other providers
- Independent backups
- Compliance with platform terms
22. Client-Caused Delays
Where the Client delays the project by failing to provide payment, access, information, content, or approval:
- The delivery schedule will be adjusted.
- Previously reserved resources may no longer be available.
- The work may be placed in a rescheduling queue.
- A new start date may be assigned.
- Additional costs may apply where significant rework or remobilisation is required.
Client-caused delays do not automatically extend a time-limited subscription or create an entitlement to a refund.
23. Project Pauses
A temporary pause may be agreed in writing.
The pause agreement should state:
- Pause start date
- Expected restart date
- Work completed
- Outstanding information
- Financial obligations
- Treatment of recurring fees
- Rescheduling conditions
A prolonged or indefinite pause may be treated as cancellation or project closure under the Refund and Cancellation Policy.
24. Suspension for Non-Payment
ZYT may suspend work where an invoice remains unpaid after its due date.
During suspension:
- Work will stop.
- Campaign monitoring may be reduced or stopped.
- Publication and deployment may be withheld.
- Delivery dates will be revised.
- Reserved resources may be reassigned.
- Third-party services may expire if not funded.
ZYT is not responsible for performance loss or interruption resulting from a payment-related suspension.
25. Completion and Acceptance
A project will be considered completed when the agreed deliverables have been supplied, published, implemented, demonstrated, or otherwise made available in accordance with the approved scope.
Completion does not depend on whether the Client immediately uses, publishes, or implements the deliverable.
Outstanding minor corrections documented during the agreed review period may be completed after the main delivery date.
26. Handover
Where applicable, handover may include:
- Approved final files
- Website or platform access
- Documentation
- Reports
- Published content
- Available source files included in the scope
- Basic usage instructions
- Agreed training or walkthrough sessions
Handover is subject to payment of all applicable invoices.
Third-party assets, internal tools, proprietary templates, licensed software, and reusable ZYT systems are not included unless expressly stated.
27. Post-Delivery Support
Post-delivery support is provided only where it is included in the proposal, maintenance plan, warranty period, or separate support agreement.
Support may exclude:
- New requirements
- New content
- Redesign
- Additional integrations
- Issues introduced by another provider
- Platform changes after delivery
- Client configuration changes
- Expired third-party software
- Hosting or server failures outside ZYT’s control
Additional support can be quoted separately.
28. Force Majeure
Delivery obligations may be extended where work is affected by events outside reasonable control, including natural disasters, widespread infrastructure failure, government restrictions, major cybersecurity incidents, civil disruption, epidemic conditions, or prolonged third-party platform outages.
ZYT will make reasonable efforts to communicate the effect on the schedule and resume delivery.
29. Policy Updates
This Service Delivery Policy may be updated to reflect changes in our processes, services, platforms, technology, or applicable requirements.
The latest version will be published on this page with the updated date.
A material change affecting an active signed engagement will be handled in accordance with the applicable agreement.
